POSITION: Legal Team Assistant (Legal Secretary)

LOCATION: San Francisco, CA

SUMMARY: The Legal Team Assistant will provide high-quality client and attorney support, performing administrative tasks and responding to inquiries from Firm clients. Must have the confidence and technical skills to support a fast-paced office. Someone who has a willingness to work hard as a member of a great team and work well-paid overtime.

KEY RESPONSIBILITIES

  • Provide administrative legal support to variety of key stakeholders of a top law firm
  • Function with autonomy and work on special projects with each case and clients
  • Handle complex Legal Assistant activities (may be highly confidential and require discretion)
  • Interface and establish ongoing positive business relationship with clients
  • Communicate effectively on busy, multiple telephone lines
  • Assist with time entry and billing as needed; set up invoices and statements, enter and track attorney’s billable hours, create reports and maintain records
  • Draft and proofread correspondence, court papers and other legal and non-legal documents; perform blacklining and redlining; create table of contents and table of authorities
  • Type, format, edit and finalize legal documents
  • Compose routine letters and memoranda and prepare reports
  • Assist in the preparation of time-keeping, travel, expense reports and other personnel records;
  • Schedule and arrange meetings and conferences
  • Update and monitor calendar reminders and entries for all deadlines
  • Input attorney time sheets and daily Time Entry 
  • Other duties as assigned

REQUIREMENTS

  • 5+ years of administrative assistant, practice assistant or executive assistant level support in a law firm or financial institution
  • Exposure to litigation desirable
  • Proficiency in Word, Excel, Outlook, Docs Open
  • Excellent written and oral communication skills
  • Ability to remain calm and function under pressure in a constantly changing environment
  • Ability to communicate effectively, dispassionately and diplomatically
  • Excellent attendance, punctual and flexible to work overtime
  • Ability to collaborate smoothly with many other people and departments
  • Detail oriented with strong day-to-day organizational skills
  • Ability to be proactive, organize/prioritize work and perform multiple tasks simultaneously
