Hospitality and Events Assistant
LOCATION: New York, NY – Midtown Manhattan
COMPENSATION: Base salary up to $65,000 plus Bonus, Medical, Dental and Vision benefits, generous vacation and sick/personal days, paid holidays, 401K, and more!
SUMMARY: The Hospitality Assistant will serve as the first point of contact for clients; greet and direct visitors; schedule meetings and plan events for both off and on-site, answer calls; and provide administrative support as needed.
KEY RESPONSIBILITIES:
- Schedule meetings, including booking conference rooms and circulating special requests to catering, Information Technology, facilities and office services staff
- Coordinate arrangements with Food Services, Facilities, and other departments to ensure requests are addressed smoothly
- Handle communication with internal and external customers, vendors via email, over the phone and in-person
- Assist with planning and execution and oversight of events on and off-site
- Perform conference room checks to ensure reservation requests are met prior to scheduled meetings
- Use Microsoft Outlook to send and receive e-mail correspondence
- Book car service for attorneys, clients and staff as needed
- Assist with developing and maintaining relationships and databases for service providers, i.e. hotels, venues, restaurants, florists, etc
REQUIREMENTS:
- 1+ years of hospitality and/or event production experience
- Bachelor's Degree required
- Proficiency in Microsoft Word, Outlook, Excel, Powerpoint and Webex
- Strong customer service skills
- Ability to communicate effectively; read, interpret and follow instructions
- Flexibility to adjust hours to meet operating needs
- Thrives in busy environment and works well under pressure
- Flexibility to travel domestically as needed
- Willingness to work overtime when necessary
