Executive Assistant to Co-CEO

LOCATION: Brooklyn, NY

SUMMARY: The Executive Assistant to the Co-CEO will provide high-quality support, performing administrative tasks and will lead projects for the Co-CEOs’ office. The ideal candidate must have the confidence and technical skills to support a fast-paced office.

KEY RESPONSIBILITIES:

  • Provide meticulous support to the Co-CEOs
  • Act as the first point of contact for the Co-CEOs’ office when fielding calls, emails and other correspondence
  • Utilize forward-thinking and strategy when calendaring and scheduling various meetings
  • Responsible for prioritizing and keeping track of deadlines and pertinent tasks
  • Function with autonomy and work on special projects as directed
  • Handle complex activities (may be highly confidential and require discretion)
  • Interface and establish ongoing positive business relationship with clients
  • Communicate effectively on busy, multiple telephone lines
  • Go above and beyond to ease the Co-CEOs’ administrative duties; calendar organization, billing assistance, contact management, travel management and more
  • Draft and proofread correspondence and various forms of documentation
  • Monitor and maintain all pertinent email inboxes
  • Prepare documents, PowerPoint presentations, Word documents, Excel spreadsheets, detailed meeting notes and any other necessary items to support Co-CEOs
  • Assist in the preparation of travel, expense reports and other personnel records
  • Schedule and arrange meetings, conferences and events as needed
  • Update and monitor calendar reminders and entries for all deadlines

REQUIREMENTS:

  • 2 + years of C-level support or event planning experience in a legal or professional environment
  • Maintain positive “can-do” attitude
  • Motivated to provide high quality client service
  • Excellent written and oral communication skills
  • Experience with heavy calendar and travel management
  • Proficiency in Microsoft Word, Excel, Outlook, time entry software, Outlook and travel services and tools
  • Ability to remain calm and function under pressure in a constantly changing environment
  • Ability to communicate effectively, dispassionately and diplomatically
  • Excellent attendance, punctual and flexible to work overtime
  • Ability to collaborate smoothly with many other people and departments
  • Detail-oriented with strong day-to-day organizational skills
  • Ability to be proactive, organize/prioritize work and perform multiple tasks simultaneously
