LOCATION: Washington, D.C.

SALARY: $61,000 – $90,000 annually, based on experience, qualifications, education, and geographic location.

KEY RESPONSIBILITIES:

  • Provide high-level administrative and operational support to senior marketing leadership and department management.
  • Manage executive calendars, schedule meetings, coordinate travel arrangements, and process expense reimbursements.
  • Coordinate department meetings, training sessions, retreats, and internal events while ensuring seamless logistics and communication.
  • Assist with the preparation of presentations, reports, spreadsheets, executive materials, and other business documents.
  • Maintain department databases, internal resources, and marketing materials to ensure information remains accurate and current.
  • Support the implementation, maintenance, and optimization of marketing technologies, customer relationship management systems, and business development tools.
  • Maintain client and contact information within internal databases while supporting data integrity initiatives.
  • Assist with website content updates, digital communications, and internal marketing initiatives.
  • Support internal communications by compiling news summaries, department updates, and other informational materials.
  • Coordinate onboarding activities for new department employees, including orientation and administrative setup.
  • Assist with the development, tracking, forecasting, and reporting of departmental operating budgets and expenditures.
  • Prepare financial reports, budget summaries, and expense analyses to support leadership decision-making.
  • Coordinate departmental social events, recognition activities, and employee engagement initiatives.
  • Collaborate with cross-functional teams to support marketing, branding, business development, and operational projects.
  • Manage multiple projects simultaneously while ensuring deadlines, quality standards, and business objectives are achieved.
  • Perform additional projects and responsibilities as assigned.

REQUIREMENTS:

  • Bachelor’s degree required; equivalent combination of education and relevant experience may be considered.
  • Minimum of seven years of progressively responsible experience in marketing operations, project coordination, executive support, or business administration.
  • Experience supporting senior executives or department leadership within a professional services, legal, financial, or corporate environment preferred.
  • Demonstrated project management experience with the ability to coordinate multiple priorities and deadlines simultaneously.
  • Strong financial and analytical skills, including budget tracking, forecasting, reporting, and expense management.
  • Excellent organizational, planning, and problem-solving abilities with exceptional attention to detail.
  • Outstanding written, verbal, and interpersonal communication skills.
  • Advanced proficiency with Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
  • Experience working with customer relationship management systems, marketing platforms, or business intelligence tools preferred.
  • Ability to quickly learn new software applications and adapt to evolving technology platforms.
  • Self-motivated professional capable of working independently while contributing effectively within a collaborative team environment.
