THE ORGANIZATION:

KEY RESPONSIBILITIES:

  • Provide strategic leadership and oversight for administrative operations within a large professional office environment.
  • Direct the daily operations of administrative support functions to ensure efficient service delivery and operational excellence.
  • Supervise, mentor, and develop managers, supervisors, and administrative professionals while fostering a collaborative and high-performing team culture.
  • Partner with firm leadership and cross-functional departments to support operational initiatives, resource planning, and business objectives.
  • Oversee facilities operations, workplace services, vendor relationships, and office support functions to maintain an efficient and professional work environment.
  • Manage relationships with external service providers, negotiate vendor agreements, monitor performance, and ensure quality standards are maintained.
  • Oversee conference services, reception, hospitality, and workplace support operations to deliver an exceptional experience for internal and external stakeholders.
  • Manage office service operations, including administrative support resources, equipment, and workflow processes to maximize efficiency.
  • Develop, monitor, and administer departmental budgets, operating expenses, staffing plans, and financial forecasts.
  • Lead office space planning initiatives, workplace reconfigurations, renovation projects, and coordination with internal and external business partners.
  • Collaborate with Human Resources on employee relations matters, staffing initiatives, performance management, and organizational development.
  • Identify opportunities to improve operational processes, enhance service delivery, and implement best practices across administrative functions.
  • Prepare reports, presentations, and operational analyses to support leadership decision-making and long-term planning.
  • Ensure compliance with organizational policies, workplace standards, safety procedures, and operational guidelines.
  • Manage multiple projects, priorities, and deadlines while maintaining exceptional service standards in a fast-paced professional environment.
  • Perform additional projects and responsibilities as assigned.

REQUIREMENTS:

  • Bachelor’s degree required; advanced education or relevant professional certifications preferred.
  • Minimum of eight years of progressive administrative or office management experience, including demonstrated leadership responsibility.
  • Prior experience within a law firm, professional services organization, financial services firm, or other complex corporate environment preferred.
  • Proven experience leading administrative operations, facilities management, workplace services, and cross-functional business support teams.
  • Demonstrated ability to supervise, mentor, and develop managers and professional staff.
  • Strong financial management skills, including budgeting, expense management, forecasting, and vendor administration.
  • Experience managing third-party vendor relationships, service agreements, and operational contracts.
  • Excellent leadership, organizational, and project management skills with the ability to manage competing priorities effectively.
  • Outstanding written and verbal communication skills with the ability to interact professionally with executives, attorneys, clients, and administrative personnel at all levels.
  • Strong analytical and problem-solving abilities with sound business judgment and decision-making skills.
  • Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, along with familiarity with workplace technology and administrative systems.
  • Ability to work independently while contributing effectively within a collaborative team environment.
  • Demonstrated professionalism, discretion, and ability to maintain confidential information.
  • Commitment to delivering exceptional client service, operational excellence, and continuous process improvement.
  • Flexibility to support business needs, including occasional extended hours when required.
