Secretarial and Administration Manager

LOCATION: Palo Alto, CA
SUMMARY: The Manager will oversee the Secretarial, Records, and Word Processing departments of the Firm’s Palo Alto office.
KEY RESPONSIBILITIES:

Coordinate day-to-day operations for the secretarial, records and word processing departments

Manage budget for the administrative operations department

Oversee operations by providing internal and external stakeholders "white-glove" customer service

Oversee the interviewing, hiring, and training process for new administrative staff

Create policy and procedures to ensure excellence throughout the secretarial and records operations groups

Initiate disciplinary actions and oversees performance reviews

Represent the administrative operations team in firm-wide meetings; lead in communicating needs, successes and areas of improvement

Engage with legal administrative support and leadership for hiring, training and general human capital management

Oversee annual performance evaluations for secretarial, word processing and administrative staff
REQUIREMENTS:

7+ years experience providing high level administrative support in a law firm or professional services environment

Bachelor's degree required

Excellent interpersonal communication skills

Able to manage confidential information with utmost discretion

Ability to be proactive, prioritize work and perform multiple tasks simultaneously

Ability to remain calm and function under pressure in a constantly changing environment with highly confidential information

Ability to collaborate with all levels and multiple departments
