SUMMARY: The Manager will oversee the Secretarial, Records, and Word Processing departments of the Firm’s Palo Alto office.

KEY RESPONSIBILITIES:

  • Coordinate day-to-day operations for the secretarial, records and word processing departments

  • Manage budget for the administrative operations department 

  • Oversee operations by providing internal and external stakeholders "white-glove" customer service

  • Oversee the interviewing, hiring, and training process for new administrative staff

  • Create policy and procedures to ensure excellence throughout the secretarial and records operations groups

  • Initiate disciplinary actions and oversees performance reviews

  • Represent the administrative operations team in firm-wide meetings; lead in communicating needs, successes and areas of improvement

  • Engage with legal administrative support and leadership for hiring, training and general human capital management 

  • Oversee annual performance evaluations for secretarial, word processing and administrative staff 

REQUIREMENTS:

  • 7+ years experience providing high level administrative support in a law firm or professional services environment

  • Bachelor's degree required

  • Excellent interpersonal communication skills 

  • Able to manage confidential information with utmost discretion 

  • Ability to be proactive, prioritize work and perform multiple tasks simultaneously

  • Ability to remain calm and function under pressure in a constantly changing environment with highly confidential information

  • Ability to collaborate with all levels and multiple departments

  • Detail oriented with strong day-to-day organizational skills

  • Project Management experience
