POSITION: Records / Information Governance Coordinator

SUMMARY: The Records Coordinator provides direct support to the Records Manager and is responsible for ensuring compliance with the records department policies and the Firm’s standards.

KEY RESPONSIBILITIES:

  • Create, maintain, and update records and files, both electronic and paper format.
  • Answer queries about records and files
  • Transfer inactive files to and from storage according to file maintenance guidelines
  • Find and retrieve information from files in response to requests from authorized users
  • Gather materials to be filed from departments and employees
  • Track materials removed from files to ensure that borrowed materials are returned
  • Provide assistance to Office Services
  • Manage multiple priorities and deadlines
  • Act as local office lead for records department functions
  • Assist in orientation and training of new department staff and employees
  • Coordinate Practice Group specific projects
  • Performs tasks that support the Firm’s litigation requirements
  • Other duties as assigned

REQUIREMENTS:

  • High school diploma required
  • 6+ years of related records experience required
  • Prior experience in a law firm environment
  • Strong customer service experience skills to communicate with internal clients such as attorneys and secretaries
  • Knowledge of legal hold process, including notification, preservation, and release
  • Knowledge of file and recordkeeping systems and procedures
  • Knowledge of commonly-used concepts, practices, and procedures within law field
  • Knowledge of standard office software (Microsoft Word, Excel, Outlook)
  • Excellent communication skills
  • Great organizational skills and attention to detail
  • Able to work independently and as part of a team in a highly pressured environment
  • Able to multitask, organize and prioritize numerous tasks and complete them in a timely manner
  • Able to read and understand information presented in written form
  • Able to arrange materials in a pattern of numbers, letters or words
