SUMMARY: An Elite Law Firm is looking for a IP Litigation Practice Coordinator with the confidence and technical skill set to support a fast-paced Litigation Partner & Associate desk. Someone who has a willingness to work hard as a member of their team and desire to take their career to the next level!
KEY RESPONSIBILITIES:
- Provide high quality Executive Assistance to Partners and team of Associates
- Communicate regularly with service departments, attorneys and clients at offices across the world
- Act as gatekeeper and liaison, tracking all requests, calls and outstanding matters
- Perform calendar management for all assigned attorneys; schedule meetings, conference calls, appointments, depositions, due dates, court appearances, etc.; e-file litigation documents in a timely fashion
- Able to conduct court filings; PTO or ITC
- Assist the Managing Clerk’s office with scheduling based on individual and master case calendars
- Create, edit and proofread correspondence and legal documents for content, grammar, spelling and formatting
- Assist with word processing of documents including but not limited to developing table of contents/table of authorities and applying firm styles/formatting
- Manage billing and timekeeping; track and input attorney time and data, review invoices and statements and collaborate with billing/accounting department regarding processing and payments
- Track and maintain litigation deadlines; maintain and update accurate client and counsel contact information; oversee document filing system
- Handle sensitive and confidential matters appropriately
- Maintain accurate knowledge of the policies and procedures of the firm
- Utilize 3E to edit time and print billing guides
REQUIREMENTS:
- Bachelor’s degree preferred
- Proficiency in MS 2016 Word, Excel, PowerPoint and Outlook
- 8 -10 years of litigation executive support experience at a BigLaw firm
- Ability to work overtime and maintain a flexible schedule
- Strong interpersonal, verbal and written communication skills
- Highly adaptable and extremely intelligent, professional and articulate
- Great ability to make sound, decisive decisions and act accordingly
