THE ORGANIZATION:

KEY RESPONSIBILITIES:

  • Provide comprehensive administrative support to attorneys and legal professionals in a fast-paced practice environment.
  • Prepare, edit, proofread, format, and finalize legal documents, correspondence, spreadsheets, presentations, and other business materials.
  • Manage attorney calendars, schedule meetings, coordinate conference calls, and arrange business travel.
  • Process attorney time entries, expense reports, conflict check requests, and other administrative workflows.
  • Maintain electronic and physical client files while ensuring compliance with document management and record retention procedures.
  • Conduct basic legal and business research and assist with document filing and information retrieval.
  • Coordinate with internal departments, including accounting, office services, records, and other administrative teams to support daily operations.
  • Monitor deadlines, prioritize assignments, and ensure timely completion of administrative requests.
  • Build strong working relationships with attorneys, administrative professionals, and clients while providing exceptional internal and external customer service.
  • Maintain accurate records, correspondence, and documentation while protecting confidential information.
  • Anticipate attorney needs and proactively provide administrative support to improve workflow efficiency.
  • Assist with additional administrative projects and operational responsibilities as assigned.

REQUIREMENTS:

  • High school diploma, GED, or equivalent required; additional education or administrative training preferred.
  • Minimum of five years of administrative support experience, preferably within a law firm, professional services organization, or corporate environment.
  • Demonstrated experience supporting multiple professionals in a fast-paced office setting.
  • Strong proficiency with Microsoft Office applications, including Word, Outlook, and Excel; familiarity with Adobe Acrobat and PowerPoint preferred.
  • Excellent organizational, time management, and multitasking abilities with exceptional attention to detail.
  • Outstanding written, verbal, and interpersonal communication skills.
  • Strong client service orientation with the ability to build positive working relationships across all levels of the organization.
  • Ability to prioritize competing deadlines while maintaining accuracy and professionalism.
  • Demonstrated discretion and ability to maintain confidential information.
  • Self-motivated professional capable of working independently while contributing effectively within a collaborative team environment.
  • Flexibility to work standard business hours with occasional overtime based on business needs.
