Hours: M-F 8:30 am – 5 pm OR 9:30 am – 6 pm (fully on site)

Summary: A well-established law firm is seeking a reliable and service-oriented Office Services Assistant to support day-to-day administrative and facilities functions. This position is based in the Los Angeles office and plays a key role in maintaining smooth office operations, supporting staff needs, and ensuring the consistent delivery of high-quality internal services.

RESPONSIBILITIES

  • Handle document-related services including copying, scanning, printing, binding, and document assembly.
  • Manage mailroom tasks such as sorting, distributing, and preparing incoming and outgoing mail, courier deliveries, and interoffice pouches.
  • Maintain supply and cleanliness of common areas including pantries and conference rooms, supporting meeting setup and cleanup as needed.
  • Operate and troubleshoot a variety of office equipment, including copiers, mail machines, scanners, binding machines, and phone systems.
  • Coordinate shipping logistics and update internal records for tracking purposes.
  • Provide light administrative support such as preparing forms, memos, letters, and assisting with filing or data entry.
  • Support hospitality needs for meetings or visiting professionals, including preparing refreshments and conference setups.
  • Assist with maintaining cleanliness in high-traffic or high-touch areas, contributing to overall office upkeep.
  • Offer general assistance over the phone and in person to staff and visitors.
  • Serve as a backup for reception, records, and other service functions as needed.

QUALIFICATIONS
Education & Experience:

  • High school diploma or equivalent required.
  • At least one year of prior experience in a professional office setting, ideally within legal or corporate services.

Skills:

  • Strong communication and interpersonal skills, with a client-service mindset.
  • Ability to multitask in a fast-paced environment while maintaining attention to detail.
  • Familiarity with Microsoft Office applications and office equipment operation.
  • Professional demeanor and dependability, with a consistent and punctual work schedule.
  • Capable of lifting and moving light to moderately heavy materials as part of office setup.
  • Willingness to work occasional overtime, including evenings or weekends, if needed.
  • Typing speed of at least 40 wpm preferred.
