Office Administrator 

Organization: National Emerging Markets Law Firm

Location: Palo Alto, CA (Remote – Hybrid)

Summary: The Office Administrator is responsible for establishing and implementing strategic plans and initiatives within the Firm’s Palo Alto office. This role will collaborate closely with Firm leadership, partners, and other stakeholders of the Firm. 

Responsibilities:

  • Oversee the administrative and support teams within the Palo Alto office
  • Support with recruiting efforts including leading interviews, selection of candidates, onboarding, acclimating to the firm, and training and mentorship of staff
  • Manage remote and hybrid work arrangements 
  • Lead performance evaluations, reviews, and compensation processes 
  • Host regular staff meetings to discuss firm initiatives and operations
  • Create and maintain office budget, in conjunction with company management and administration to make planning, purchasing, and cost-effective operating easier
  • Assist with office space learning and real estate property management needs as it relates to the property
  • Support with office layout requirements during renovations or redesigns; select inventory for the office including furniture, kitchen equipment, and more
  • Manage office supply and equipment inventory tracking; perform vendor cost analysis and negotiation
  • Create and implement business continuity plans, safety, and emergency response plans
  • Partner with the Recruitment and Professional Development teams to ensure the firm’s hosting a strong and competitive summer associate program
  • Regularly collaborate with the Chief Human Resources Partner on firmwide projects and rollouts
  • Assess and prepare for changing needs within the office
  • Point of contact for employee relations, orientation and training
  • Assist with special project logistics, including but not limited to collaborating with outside vendors teams, architects and/or project managers on all budgets, timelines and expectations
  • Manage and oversee the operations of the office
  • Work with managers and directors from other offices on collaborative projects

Qualifications:

  • Bachelor's degree required
  • ALA Paralegal Certificate preferred
  • Minimum of 5+ years of HR management, employee relations, and staffing in a law firm environment
  • Demonstrated understanding of law firm budgeting, cost recovery, contract/license negotiation, and space planning
  • Experience implementing programs, project planning / management, and process analysis
  • Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, and Adobe Acrobat
  • Ability to communicate effectively, dispassionately and diplomatically
  • Strong attention to detail
  • Ability to collaborate smoothly with many other people and departments
  • Strong customer service skills
  • Ability to handle confidential matters
  • Ability to remain calm and function under pressure
