KEY RESPONSIBILITIES:
Provide strategic and operational leadership for the day-to-day administration of the office while ensuring business objectives and client service standards are achieved.
Partner with office leadership to develop and implement operational strategies that support changing business needs and organizational priorities.
Collaborate with finance, technology, human resources, facilities, and other administrative departments to improve operational efficiency and service delivery.
Monitor strategic initiatives, evaluate performance metrics, and communicate progress to leadership.
Oversee the administration of office support functions, ensuring efficient operations across administrative departments.
Manage departmental budgets, expenses, and financial processes, including oversight of billing support, timekeeping, accounts payable, and related administrative functions.
Assist with annual budgeting and financial planning activities.
Develop and implement administrative procedures, best practices, and operational improvements that enhance efficiency, service quality, and employee engagement.
Coordinate relationships with vendors and external service providers while supporting facilities and office infrastructure needs.
Partner with facilities management on office space planning, maintenance, workplace projects, and related operational initiatives.
Provide leadership and oversight for administrative support functions, including legal support services, records management, research resources, office services, and other business support teams.
Coordinate office-wide meetings, employee engagement initiatives, recognition programs, community outreach activities, and special events.
Support office emergency preparedness planning and business continuity initiatives while maintaining compliance with organizational policies and safety procedures.
Partner with executive leadership to implement organizational priorities, policies, and operational standards throughout the office.
Provide guidance and support on talent management initiatives, including recruiting, onboarding, employee relations, performance management, compensation administration, professional development, and workforce planning.
Ensure compliance with employment policies, applicable labor regulations, and organizational procedures.
Support relocation, onboarding, and other employee transition activities as needed.
REQUIREMENTS:
Bachelor’s degree required.
Minimum of eight (8) years of office administration, operations management, human resources, or related leadership experience, preferably within a professional services environment.
Demonstrated experience leading office operations and managing cross-functional administrative teams.
Strong business acumen with the ability to develop operational strategy and implement organizational initiatives.
Excellent leadership, collaboration, and relationship-building skills with the ability to influence stakeholders at all levels.
Strong organizational, analytical, project management, and problem-solving abilities.
Exceptional written, verbal, and interpersonal communication skills.
High level of professionalism, sound judgment, discretion, and confidentiality.
Experience managing budgets, operational planning, and administrative processes.
Proficiency with Microsoft Office applications and the ability to learn new technologies quickly.
Ability to manage multiple priorities in a fast-paced, deadline-driven environment.
Flexibility to travel periodically and adjust work schedules as business needs require.
