Marketing & Events Assistant

LOCATION: New York, NY – Midtown Manhattan (remote to start)

COMPENSATION: Base salary up to $65,000 plus paid overtime, Bonus, Medical, Dental and Vision benefits, generous vacation and sick/personal days, paid holidays, 401K, and more!

SUMMARY: The Marketing & Events Assistant will serve as the main point of contact for all client facing events; greet and direct guests; answer questions, respond to emails, handle check in, set up/take down event materials for both off and on-site. This position reports to the Global Marketing & Communications Program & Events Administrator.

KEY RESPONSIBILITIES:

  • Assist with planning and execution of client and alumni events and programs
  • Spearhead registration process, manage RSVP updates, answer questions, coordinate materials and logistics; gain feedback after events 
  • Support alumni program relations activities 
  • Serve as primary contact person for events registration/check in at in-person functions
  • Oversee posts of content for events 
  • Assist with reporting and documentation using event tracking database systems 
  • Maintain department events on the Firm event calendar and communicate updates to key stakeholders
  • Provide support as needed to the alumni program including maintenance of the website, tracking alumni information through Google alerts, updating alumni database, preparing mailings, sending follow-up emails, and logging data into Interaction
  • Handle communication with internal and external customers, vendors via email, over the phone and in-person 
  • Support attorney speaking engagements and Firm’s involvement in charitable events; respond to emails, answer questions, coordinate check in, etc.

REQUIREMENTS:

  • 3+ years of related event production experience in a corporate environment
  • Bachelor's Degree required 
  • Experience using content management systems
  • Proficiency in Microsoft Word, Outlook, Excel, and Powerpoint 
  • Knowledge of dynamic databases such as Interaction
  • Ability to communicate effectively; read, interpret and follow instructions
  • Flexibility to adjust hours to meet operating needs
  • Thrives in busy environment and works well under pressure
  • Flexibility to travel domestically as needed
  • Willingness to work overtime when necessary
