Legal Executive Assistant to Partner (IP Litigation)

The Organization: Prestigious Global Law Firm

Location: San Francisco, CA

Compensation: Base salary to $105,000 plus well-paid overtime, very generous bonus, medical and dental benefits, tuition reimbursement, gym membership, PTO, 401K and much more.

Summary: The Legal Executive Assistant will provide high-quality client and attorney support, performing administrative tasks, coordinating events and responding to inquiries from Firm clients. Must have the confidence and technical skills to support a fast-paced Associate, Partner or Senior Partner desk. Someone who has a willingness to work hard as a member of a great team and, work well-paid overtime. A desire to take your career to the next level, in a top firm.

Key Responsibilities:

  • Provide executive level legal support to Associate, Partner, Senior Partner or Managing Partner level attorneys based on your prior legal experience
  • Function with autonomy and work on special projects with each case and clients
  • Handle complex Legal Assistant activities (may be highly confidential and require discretion)
  • Interface and establish ongoing positive business relationship with clients
  • Communicate effectively on busy, multiple telephone lines
  • Assist with time entry and billing as needed; set up invoices and statements, enter and track attorney’s billable hours, create reports and maintain records
  • Draft and proofread correspondence, court papers and other legal and non-legal documents; perform blacklining and redlining; create table of contents and table of authorities
  • Coordinate travel for Clients, Witnesses and Experts; research cost-effective travel and alternatives
  • Type, format, edit and finalize legal documents
  • Compose routine letters and memoranda and prepare reports
  • Assist in the preparation of time-keeping, travel, expense reports and other personnel records;
  • Schedule and arrange meetings and conferences

Required Skills

  • 3+ years of legal administrative assistant support in a law firm or financial institution
  • Excellent written and oral communication skills
  • Ability to remain calm and function under pressure in a constantly changing environment
  • Ability to communicate effectively, dispassionately and diplomatically
  • Excellent attendance, punctual and flexible to work overtime
  • Ability to collaborate smoothly with many other people and departments
