POSITION: Legal Administrative Coordinator

LOCATION: Seattle, WA

THE ORGANIZATION: Elite International Law Firm

KEY RESPONSIBILITIES:

  • Perform high-volume administrative and legal support functions in a fast-paced, deadline-driven environment
  • Coordinate complex scheduling, calendaring, and meeting logistics for legal professionals
  • Manage litigation deadlines, court dates, client meetings, and project timelines
  • Prepare, proofread, format, and finalize legal, business, and client-facing documents
  • Assist with electronic filing processes and maintain compliance with procedural requirements
  • Support document management, records retention, and electronic file organization
  • Coordinate discovery-related documentation, production tracking, and case materials
  • Assist with trial preparation, hearing logistics, and case management activities
  • Conduct legal and business research utilizing online resources and databases
  • Prepare presentation materials, reports, and meeting documentation
  • Coordinate travel arrangements and expense reimbursement submissions
  • Monitor attorney time entry and assist with billing and invoicing processes
  • Process vendor invoices and support accounts receivable follow-up efforts
  • Serve as a liaison between attorneys, clients, vendors, and internal departments
  • Coordinate conference calls, video meetings, and client events
  • Assist with new client onboarding, engagement documentation, and administrative workflows
  • Maintain confidentiality while handling sensitive client and business information
  • Troubleshoot technology-related issues and coordinate with support teams as needed
  • Support process improvement initiatives and identify opportunities to increase operational efficiency
  • Collaborate with cross-functional teams to ensure seamless client service and project execution

REQUIREMENTS:

  • Bachelor’s degree preferred
  • 3+ years of administrative, legal support, project coordination, or professional services experience
  • Experience supporting attorneys, legal professionals, or executive-level stakeholders preferred
  • Knowledge of litigation support processes, court procedures, and document management systems highly desirable
  • Advanced proficiency in Microsoft Office Suite and legal technology platforms
  • Exceptional organizational, communication, and customer service skills
  • Ability to manage multiple priorities while meeting critical deadlines
  • Strong attention to detail and commitment to producing accurate work product
  • Ability to exercise discretion and maintain confidentiality
  • Proven ability to work independently and collaboratively within a team environment
  • Adaptable, proactive, and solution-oriented approach to problem-solving
  • Flexibility to work additional hours or travel as business needs require
