POSITION: Legal Administrative Assistant

ORGANIZATION: An International Law Firm with over 300 Attorneys

SUMMARY: One of the top law firms in the world is looking for an Administrative Assistant with the confidence and technical skill set to support a fast-paced Partner & Associate desk. Someone who has a willingness to work hard as a member of their team and desire to take their career to the next level!

KEY RESPONSIBILITIES:

  • Provide high quality Executive Assistance to Partner and team of Associates
  • Communicate regularly with service departments, attorneys and clients at offices across the world
  • Act as gatekeeper and liaison, tracking all requests, calls and outstanding matters
  • Perform calendar management for all assigned attorneys; schedule meetings, conference calls, appointments, depositions, due dates, court appearances, etc.; e-file litigation documents in a timely fashion
  • Create, edit and proofread correspondence and legal documents for content, grammar, spelling and formatting
  • Assist with word processing of documents including but not limited to developing table of contents/table of authorities and applying firm styles/formatting
  • Manage billing and timekeeping; track and input attorney time and data, review invoices and statements and collaborate with billing/accounting department regarding processing and payments
  • Track and maintain litigation deadlines; maintain and update accurate client and counsel contact information; oversee document filing system
  • Handle sensitive and confidential matters appropriately
  • Maintain accurate knowledge of the policies and procedures of the firm
  • Prepare conflict of interest forms and new matter memos for new client matters
  • Maintain records and filing system using Autonomy Records Manager
  • Able to use iManage for document management
  • Provide backup support to Administrative Assistants
  • Other duties as assigned

REQUIREMENTS:

  • Bachelor’s degree preferred
  • 3+ years of experience as Legal Administrative Assistant or Executive Assistant
  • High level proficiency in Microsoft Office Suite, including Word, Excel and PowerPoint
  • Proficiency in use of Adobe 
  • Strong interpersonal, verbal and written communication skills
  • Highly adaptable and extremely intelligent, professional and articulate
  • Great ability to make sound, decisive decisions and act accordingly
  • Ability to work under pressure while maintaining a high level of professionalism
  • Ability to work efficiently in a fast-paced environment
  • Ability to collaborate with others to accomplish tasks
  • Flexibility for overtime as necessary
