KEY RESPONSIBILITIES:

  • Supervise a team of intellectual property support professionals, providing coaching, performance management, and professional development
  • Manage daily workflow, staffing, and workload distribution to ensure timely completion of domestic and international matters
  • Monitor productivity, utilization, and operational performance metrics
  • Oversee administrative functions related to intellectual property portfolio management and ownership record transfers
  • Partner with attorneys and firm leadership to support practice operations and resource planning
  • Develop, maintain, and improve departmental procedures, workflows, and operational documentation
  • Identify process improvement opportunities and implement workflow efficiencies
  • Coordinate with cross-functional departments to ensure seamless execution of client service initiatives
  • Lead onboarding and training of new team members
  • Support implementation of new technologies, systems, and operational initiatives
  • Serve as the primary liaison between legal professionals, support staff, and administrative departments
  • Ensure compliance with internal procedures, filing deadlines, and quality standards
  • Assist with capacity planning, staffing recommendations, and departmental reporting
  • Promote a collaborative, high-performing team culture focused on operational excellence and client service

REQUIREMENTS:

  • Bachelor’s degree required
  • 5+ years of experience supporting intellectual property or legal operations within a law firm or professional services environment
  • 2+ years of supervisory or team leadership experience
  • Strong knowledge of domestic and international intellectual property prosecution processes and docket management
  • Experience with legal practice management and docketing systems preferred
  • Demonstrated leadership, coaching, and organizational skills
  • Excellent written and verbal communication abilities
  • Strong analytical, problem-solving, and project management skills
  • Ability to prioritize multiple deadlines in a fast-paced environment
  • High level of professionalism with the ability to maintain confidentiality
  • Experience leading process improvements and operational initiatives
  • Comfortable adopting new technologies and leveraging AI tools to improve efficiency
