KEY RESPONSIBILITIES:
- Supervise a team of intellectual property support professionals, providing coaching, performance management, and professional development
- Manage daily workflow, staffing, and workload distribution to ensure timely completion of domestic and international matters
- Monitor productivity, utilization, and operational performance metrics
- Oversee administrative functions related to intellectual property portfolio management and ownership record transfers
- Partner with attorneys and firm leadership to support practice operations and resource planning
- Develop, maintain, and improve departmental procedures, workflows, and operational documentation
- Identify process improvement opportunities and implement workflow efficiencies
- Coordinate with cross-functional departments to ensure seamless execution of client service initiatives
- Lead onboarding and training of new team members
- Support implementation of new technologies, systems, and operational initiatives
- Serve as the primary liaison between legal professionals, support staff, and administrative departments
- Ensure compliance with internal procedures, filing deadlines, and quality standards
- Assist with capacity planning, staffing recommendations, and departmental reporting
- Promote a collaborative, high-performing team culture focused on operational excellence and client service
REQUIREMENTS:
- Bachelor’s degree required
- 5+ years of experience supporting intellectual property or legal operations within a law firm or professional services environment
- 2+ years of supervisory or team leadership experience
- Strong knowledge of domestic and international intellectual property prosecution processes and docket management
- Experience with legal practice management and docketing systems preferred
- Demonstrated leadership, coaching, and organizational skills
- Excellent written and verbal communication abilities
- Strong analytical, problem-solving, and project management skills
- Ability to prioritize multiple deadlines in a fast-paced environment
- High level of professionalism with the ability to maintain confidentiality
- Experience leading process improvements and operational initiatives
- Comfortable adopting new technologies and leveraging AI tools to improve efficiency
