LOCATION: Washington, DC
SALARY: $92,000 – $126,500 annually, based on experience, qualifications, and overall fit. Eligible employees may also receive performance-based bonus opportunities and overtime compensation where applicable.

KEY RESPONSIBILITIES:
- Provide comprehensive administrative and legal support to attorneys and legal professionals within the Intellectual Property practice.
- Prepare, edit, proofread, and format legal correspondence, memoranda, reports, patent and trademark documents, and other legal materials.
- Manage attorney calendars, schedule meetings, deadlines, client appointments, and business travel arrangements.
- Maintain electronic and physical client files while ensuring accurate document organization and record management.
- Prepare, review, edit, and finalize attorney time entries, client billing documentation, expense reports, and reimbursement requests.
- Assist with billing coordination, invoice review, and communication with accounting personnel regarding client accounts.
- Coordinate administrative support for domestic and international intellectual property matters, including document preparation and correspondence.
- Draft routine communications and respond to client and internal inquiries in a professional and timely manner.
- Screen telephone calls, greet visitors, and coordinate communications between attorneys, clients, and external business partners.
- Support document production, scanning, filing, proofreading, and distribution of legal materials.
- Assist with opening new client matters, maintaining case files, and ensuring accurate recordkeeping throughout the matter lifecycle.
- Coordinate multiple assignments simultaneously while ensuring deadlines and client expectations are consistently met.
- Provide administrative support during attorney absences and assist colleagues with overflow work as needed.
- Mentor and provide guidance to administrative support staff when appropriate.
- Maintain confidentiality of client information and sensitive legal matters.
- Perform additional administrative and legal support responsibilities as assigned.
REQUIREMENTS:
- High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
- Minimum of five years of legal administrative or executive support experience within a law firm or professional services environment.
- At least three years of experience supporting patent prosecution, trademark, or other intellectual property legal matters preferred.
- Strong knowledge of legal document preparation, client billing, calendar management, and administrative procedures.
- Experience supporting multiple attorneys in a fast-paced legal environment.
- Excellent organizational, time management, and multitasking abilities with exceptional attention to detail.
- Outstanding written, verbal, and interpersonal communication skills.
- Proficiency with Microsoft Office applications, including Word, Excel, Outlook, and PowerPoint, as well as legal document management and billing software.
- Ability to prioritize competing deadlines while maintaining a high level of accuracy and professionalism.
- Demonstrated discretion and ability to handle confidential information appropriately.
- Self-motivated professional capable of working independently while contributing effectively within a collaborative team environment.
- Experience supporting international intellectual property matters or multilingual communication is considered a plus.
- Flexibility to support changing business priorities and occasional overtime as needed.
