HR Benefits Specialist

Location: New York, NY 

The Organization: Stable Midtown, Manhattan Litigation Law Firm

Summary: Reputable and stable litigation law firm is seeking an HR Benefits Specialist to serve as an integral member of the Firm's Executive Department 

Key Responsibilities:

  • Provide administrative support to executives and management teams across the Firm

  • Coordinate orientation, benefits, and training of new lawyers and administrative staff

  • Administer leaves of absence, disability, Workers' Compensation, ADA, COBRA, FSA and FMLA

  • Communicate regularly with employees and answer questions regarding benefits, enrollments, changes, terminations, special circumstances, problem resolution, and compliance issues

  • Assist management with special projects as needed and with minimal oversight  including HRMS upgrades and testing and aca tax form preparation

  • Enter payroll, manage paid time off (PTO), healthcare enrollment/benefits, retirement benefits and creating reports and updating records

  • Arrange performance reviews and bonus analysis

  • Provide direct support to HR management, coordinating travel and researching cost-effective travel arrangements

  • Keep track of inventory of office supplies and pantry items, making sure to order new equipment in advance and comparing vendors

  • Assist with preparation of time-keeping, expense reports and other employee personnel records

  • Assist with answering phones, distributing mail, and other areas as needed 

  • Maintain an organized inbox to ensure professionalism and timeliness

  • Schedule various meetings and/or conferences and arrange necessary logistics for those events

Qualifications:

  • At least 3+ years HR or legal administrative work

  • Microsoft Office proficiency required with advanced Excel knowledge

  • Familiarity with payroll, HR duties and office administration, experience with ADP is a plus!

  • Familiarity with QuickBooks is a plus!

  • Positive attitude with a willingness to perform various duties 

  • Highly organized with strong oral and written communication skills

  • Ability to work well under pressure and navigate tight deadlines while taking ownership over tasks big and small
