Executive Assistant (Research Assistant)

LOCATION: New York, New York (Midtown)

THE ORGANIZATION: Top Asset Management Company

SUMMARY: Stable and reputable Asset Management company seeking a dedicated EA to support the Portfolio Managers and Research Analysts within the team. Reporting directly to the Head of Research/Executive Assistants, this person will join a close-knit team of EA’s.

RESPONSIBILITIES: 

  • Answer and triage phone calls, screening, forwarding and taking messages as appropriate
  • Arrange meetings and appointments; gathering necessary materials, partnering with receptionist to set calendar appointments with detailed participants, agenda, conference room, etc 
  • Heavy calendar management
  • Email inbox management, searching for relevant events, meetings or calls
  • Keep track of deadlines and registrations
  • Liaison with brokers, banks and investor relations to register PM’s and Analysts for Conferences and Investor days
  • Maintain and update contact lists 
  • Draft and proofread correspondence, documents and spreadsheets to streamline workload for PMs and Analysts
  • Assist with preparation of reports
  • Maintain filing system
  • Regularly keep track of calendar for quarterly earnings calls
  • Provide press releases, transcripts, estimates and research reports to PMs using Factset or Bloomberg
  • Arrange travel: flights, car service, hotels and itineraries
  • Submit and reconcile expense reports
  • Assist with notetaking during calls
  • Update weekly IPO memo
  • Support with coordinating recruiting efforts, scheduling interviews on multiple schedules

REQUIREMENTS:

  • Bachelor's Degree
  • 3+ years Executive Support experience
  • Fluent in MS Word, Excel, Outlook, PowerPoint, LinkedIn, database experience
  • Highly organized, a great multi-tasker and intense attention to detail.
  • Able to protect confidential information, problem solve and meet deadlines, while maintaining accuracy and detail
  • Sharp, polished and have a professional demeanor
