SUMMARY: Top International Law Firm is seeking an experienced HR Executive Assistant to provide high-quality support and perform administrative tasks for the Human Resources department. This role will report directly to an Associate Director in the firm’s New York office.

KEY RESPONSIBILITIES:

  • Provide administrative support to the HR department in New York office
  • Handle staff tuition reimbursement program
  • Assist recruitment team with scheduling and coordinating interviews and new hire on-boarding process
  • Assist with employment verifications
  • Manage department telephone system
  • Schedule appointments for senior leadership or management, as necessary
  • Maintain and review HR supplies and opening mail
  • Communicate effectively on busy, multiple telephone lines
  • Assist with time entry, create reports and maintain records
  • Compose routine letters and memoranda and prepare reports
  • Schedule and arrange meetings and conferences
  • Assist with updating HR intranet pages

REQUIREMENTS:

  • High school diploma required
  • 6+ years of executive level support in a law firm or professional services environment
  • Excellent written and oral communication skills
  • Ability to remain calm and function under pressure in a constantly changing environment
  • Ability to communicate effectively, dispassionately and diplomatically
  • Excellent attendance, punctual and flexible to work overtime
  • Ability to collaborate smoothly with many other people and departments
  • Detail oriented with strong day-to-day organizational skills
  • Ability to be proactive, organize/prioritize work and perform multiple tasks simultaneously
