SUMMARY: Top International Law Firm is seeking an experienced HR Executive Assistant to provide high-quality support and perform administrative tasks for the Human Resources department. This role will report directly to an Associate Director in the firm’s New York office.
KEY RESPONSIBILITIES:
- Provide administrative support to the HR department in New York office
- Handle staff tuition reimbursement program
- Assist recruitment team with scheduling and coordinating interviews and new hire on-boarding process
- Assist with employment verifications
- Manage department telephone system
- Schedule appointments for senior leadership or management, as necessary
- Maintain and review HR supplies and opening mail
- Communicate effectively on busy, multiple telephone lines
- Assist with time entry, create reports and maintain records
- Compose routine letters and memoranda and prepare reports
- Schedule and arrange meetings and conferences
- Assist with updating HR intranet pages
REQUIREMENTS:
- High school diploma required
- 6+ years of executive level support in a law firm or professional services environment
- Excellent written and oral communication skills
- Ability to remain calm and function under pressure in a constantly changing environment
- Ability to communicate effectively, dispassionately and diplomatically
- Excellent attendance, punctual and flexible to work overtime
- Ability to collaborate smoothly with many other people and departments
- Detail oriented with strong day-to-day organizational skills
- Ability to be proactive, organize/prioritize work and perform multiple tasks simultaneously
