POSITION: Guest Services Assistant
LOCATION: San Francisco, California
THE ORGANIZATION: World Renowned Law Firm

SUMMARY: The Client Services Assistant will provide high-quality client and attorney support, performing administrative tasks, coordinating events and responding to inquiries from Firm clients. Must have the confidence and technical skills to provide support in a fast-paced environment.
KEY RESPONSIBILITIES:
- Provide executive level legal support to Firm clients and guests
- Function with autonomy and work on special projects with each case and clients
- Handle complex Legal Assistant activities (may be highly confidential and require discretion)
- May orchestrate car service and other types of services for clients and guests
- Interface and establish ongoing positive business relationship with clients
- Communicate effectively on busy, multiple telephone lines
- Greet and assist Firm clients and guests in a professional and courteous manner
- Manage conference room reservation requests
- Maintain readiness of meeting rooms
- Take charge of providing Wi-Fi services for clients and guests
- Arrange for building access for Firm clients and guests
- Schedule and arrange meetings and conferences; work closely with the IT/catering departments for event set up
- Coordinate with vendors for on and off-site events
- Supervise cleaning protocols to ensure everything is well organized and sanitized
- Mail, ship and deliver packages within the office
- Handle office food deliveries
- Assist with Zoom, WebEx, and Remo video meeting correspondence and booking
- Execute sanitation protocols (COVID)
REQUIREMENTS:
- 2+ years of guest services experience in a legal or professional services environment
- Maintain positive “can-do” attitude
- Motivated to provide high quality client service
- Excellent written and oral communication skills
- Excellent computer, data entry and technical skills, including Microsoft Office Suite
- Knowledge of basic office equipment, such as printers, scanners, copiers
- Ability to remain calm and function under pressure in a constantly changing environment
- Ability to communicate effectively, dispassionately and diplomatically
- Excellent attendance, punctual and flexible to work overtime
- Ability to collaborate smoothly with many other people and departments
- Detail-oriented with strong day-to-day organizational skills
- Ability to be proactive, organize/prioritize work and perform multiple tasks simultaneously
