Position Overview
We are seeking an experienced professional to serve as Associate Director of IP Operations. This leadership role is central to guiding the operational strategy of the Intellectual Property practice, ensuring efficiency, innovation, and alignment with firm-wide objectives. The Associate Director will oversee patent operations across multiple offices, manage cross-practice initiatives, and drive long-term improvements in quality, consistency, and client service.
Key Responsibilities
Strategic Leadership
- Partner with practice leadership to define and execute operational strategies for the Patent Group
- Develop multi-year operational plans that support scalability and efficiency
- Optimize staffing models, resource allocation, and workflows to sustain performance
Operational Excellence
- Design and implement frameworks and technology solutions to streamline processes
- Track and report performance metrics to identify opportunities for improvement
- Ensure compliance with firm policies, client requirements, and patent regulations
- Establish and enforce best practices across patent teams
Team Leadership & Development
- Provide oversight to docketing, international filing, and legal support teams
- Mentor managers and team leads to strengthen leadership skills
- Promote a culture of accountability, collaboration, and continuous improvement
- Lead change management initiatives to support new systems and structures
Cross-Functional Collaboration
- Work closely with Finance, IT, HR, and Risk Management to integrate operations
- Partner with attorneys and practice leaders to anticipate client needs
- Coordinate with trademark practice leadership to ensure consistency across IP operations
Technology & Vendor Management
- Oversee evaluation and implementation of patent operations software and platforms
- Manage vendor relationships and contracts to ensure alignment with firm standards
Performance & Reporting
- Deliver executive-level reports and presentations on operational performance
- Monitor KPIs and productivity metrics to guide decision-making
Thought Leadership
- Stay current on industry trends, emerging technologies, and regulatory changes
- Represent the firm in professional forums related to IP operations
Travel
- Quarterly travel to firm offices is required to maintain consistent oversight and leadership presence
Desired Qualifications
- Deep knowledge of U.S. and international patent prosecution processes and docketing systems
- Proven experience building and scaling operational systems for large patent teams
- Proficiency with IP docketing and data management platforms (EFS, PAIR, EPAS, WIPO, PTO Financial Manager)
- At least 10 years of patent operations experience, with 5+ years in a leadership role
- Bachelor’s degree required; advanced degree or certifications (MBA, PMP, Lean Six Sigma) preferred
- Strong analytical, financial, and communication skills
- Ability to lead through change and foster a collaborative, high-performance culture
- Advanced proficiency in Microsoft Office and patent management software
Compensation & Benefits
- Salary Range: $168,000 – $251,250 (commensurate with experience, education, and location)
